At Robin College, we are committed to safeguarding the personal information of our students, website visitors, and partners. This Privacy Policy explains what we collect, why, who handles it for us, how long we keep it, and your rights. We handle personal information in accordance with Alberta’s Personal Information Protection Act (PIPA).

Information We Collect

As a college, we may collect:

• Contact details: name, email address, phone number, and mailing address.
• Academic information: course registrations, transcripts, and certificates.
• Payment information: billing details for tuition or course fees.

Through this website, we collect:

• Enquiries you send us: your name, email address, phone number if you give it, the program and campus you are interested in, the page you sent it from, and whether you agreed to receive emails from us, together with the wording you agreed to.
• Questions you ask our online assistant, by typing or by voice.

We do not record your IP address or browser details with an enquiry. This website does not use analytics or advertising cookies. It remembers only your choice of light or dark display, in your own browser. Our hosting provider, Cloudflare, processes technical information such as IP addresses in order to deliver the website and protect it from abuse.

How We Use Your Information

We use the information we collect to:

• Respond to your enquiry.
• Send you news about programs, start dates, and open houses, only if you agreed to receive it. You can unsubscribe at any time.
• Answer your questions through the online assistant.
• Process course enrollments and payments.
• Meet legal and regulatory requirements.

Our Online Assistant

The assistant answers questions about our programs. What you type is sent to Anthropic, the company that makes the Claude AI model, to produce the answer. We do not keep a record of typed questions or answers. Please do not share sensitive personal information with the assistant.

If you use voice, your microphone is on until you end the call. Cloudflare converts your speech to text and the answer back to speech, and the text is sent to Anthropic as above. We do not keep recordings of your voice. The text of the conversation is held on Cloudflare’s servers on our behalf only for the call, so the assistant can follow it, and is deleted when the call ends. If a call is cut off rather than ended, it is deleted within a few hours at most.

Service Providers Outside Canada

We do not sell, trade, or rent your personal information. We use the following service providers, which may store or process personal information outside Canada, including in the United States. While it is there, it may be subject to the laws of that country.

• Cloudflare: hosts this website, stores enquiries, checks that the enquiry form is being filled in by a person (Turnstile), and runs the voice assistant’s speech conversion.
• Resend: sends us an email notification when you submit an enquiry.
• Anthropic: produces the online assistant’s answers.

We may also share information with accreditation bodies and educational partners when necessary, and with legal authorities if required by law. Our service providers may use the information only to provide their services to us.

How Long We Keep Information

• Enquiries sent through this website are kept for 24 months, then deleted.
• Typed questions to the online assistant are not kept.
• Voice conversations with the online assistant are deleted when the call ends.
• Student records are kept for as long as we need them to deliver your program and meet our legal and regulatory obligations.

Data Security

We implement appropriate security measures to protect your personal data from unauthorized access, alteration, or disclosure. If a breach creates a real risk of significant harm to you, we will notify you and the Office of the Information and Privacy Commissioner of Alberta, as PIPA requires.

Your Rights

You have the right to:

• Ask what personal information we hold about you, and receive a copy.
• Ask us to correct information that is wrong.
• Withdraw your consent for certain uses of your information, such as marketing emails.
• Request deletion of your personal data, where applicable.

Our website may contain links to third-party sites, including our social media pages. We are not responsible for the privacy practices or content of these external websites.

Changes to This Policy

Robin College reserves the right to update this Privacy Policy at any time. Changes will be posted on this page with an updated effective date.
